Purpose of processing data

Register on customers and stakeholders (here referred to as “customers”) enables high quality service. The register is needed to ensure all staff responsible for customer service, sales and communications have updated information on the services, offers, negotiations and contracts for each customer.

Legal grounds for processing data is the legitimate interest of the Data Controller.

Personal data categories

Register manages information on the customers. Persons, who express their willingness to receive information on the services and activities of OEP, are considered as customers. The willingness to receive information may be expressed in writing, e.g. by contacting sales by email or by submitting request for proposal, or verbally e.g. in meeting with the customer or in a marketing event.

Information in the register includes the name of the customer, contact information, name of the organisation they represent, and information on the service or collaboration process. Regarding the process, information on the request or need of the customer is registered, as well as any service proposal, formal offer or contract with the customer. 

Retention period of personal data

Personal data is deleted after 10 years. 

Personal information is processed with Google software and servers and, if necessary, in a selected learning management system. The servers may be located outside EU.  All parties are committed to following the EU General Data Protection Regulation in their terms of use.

The data in the record will be filed in a database, which is technically secured. 

Unauthorized access to data and related documentation is prevented.

Transfer of information

Personal data is not to be transferred outside the OEP. Data is not be transferred outside the EU or the European Economic Area.

Right of access, right of correction, right to be forgotten, right of restriction, right to object

You have the right to ask the data controller access to your data and to request correction or removal of information or restrict and object to the processing of your data. Contact address: info@oep.fi 

Students and participants of training programs

 

Purpose of processing data

Register on students and participants of training programs (here referred to as “students”) enables delivery of trainings and student certificate records. The register is needed to ensure all staff responsible for training, administration and communication have updated information on the training participants and their study records.

Legal grounds for processing data is the legitimate interest of the Data Controller.

Personal data categories

Register manages information on the students. Persons, who participate on training programs or events (e.g. seminars, webinars) organized by the OEP, are considered as students. The willingness to participate as a student, may be expressed by the student directly to OEP or to the customer of OEP in writing, e.g. by registering online, or by contacting OEP staff by email, or verbally e.g. in meeting or in a marketing event. 

Information in the register includes the name of the student, contact information, date of birth, nationality, name of the customer to whom the training or event is linked, and information on the training program or event and certification. The information on the certification details whether the student has completed OEP certificate or official national level qualification diploma for any partner institution.

Retention period of personal data

Personal data is deleted after 1 year of completing the training program, except for certificates. All certificate information is stored permanently. Certificate information includes name of the student, program participated or completed, descriptive information on the program, date of the certificate, if national level qualification diploma is attained, and the partner institution which has awarded the diploma.

If the participant is completing an official qualification or a module of a qualification, the personal information of the participant will be disclosed as necessary to the partner institution offering the qualification.  

In other cases, the personal information will not be disclosed to third parties without the express consent of the data subject.

Staff, experts and job applicants

 

Purpose of processing data

OEP maintains a register of staff members, experts and job applicants (here referred to as “experts”), including employees (or former employees), members of the board, trainees, assigned experts, job applicants, prospective assigned experts, or as persons in other similar position. The data is needed to a) fulfil OEP obligations as an employer, b) offer experts and job applicants work opportunities according to their preferences, and c) provide customers and prospective customers information on the expertise and experience of the OEP experts.

Legal basis for data processing

For prospective experts, legal grounds for processing data is the legitimate interest of the Data Controller.  

For job applicants, legal grounds for processing data is the legitimate interest of the Data Controller. Job applicant are requested to give a written permission to store the data for 2 years.  

For employees, legal grounds for data processing is based on fulfilling the obligations as an employer set by law as well as the contract between the employee and employer.

Personal data categories

The personal data gathered is obtained from the person themselves. The willingness to participate in OEP activities an assigned expert or prospective employee is expressed by the person, e.g. by sending CV by email. 

Information in the register includes the name of the person, contact information, and all information the person has disclosed in their CV. For employees and assigned experts, also information on employment contract or any other contract made, and information related on remuneration.

Retention period of personal data

Personal data is stored for the period of the employment or period of assigned expertise, and for two (2) years following the end of the employment/assignment. For prospective experts and job applicants, the data is stored for two years. After, the data is deleted.

Testimonials and information related to the termination of the employment, employment contracts, and absences in payroll accounting will be kept for ten (10) years following the end of the employment. As set in the advance collection legislation, payroll accounting is kept for ten (10) years following the end of the accounting period in compliance with other regulations on retention of accounting data in the Accounting Act.  

Information is processed in Procountor software of Finago Oy as well as in eTasku software. Information is processed also in Google software and servers. The servers may be located outside EU. All parties are committed to following the EU General Data Protection Regulation in their terms of use. 

Unauthorized access to the information and related documentation is prevented. Access requires a user ID and password. Paper documentation is kept in a locked cabinet. 

Transfer of information

OEP will disclose required personal information related to statutory occupational health care to the health care service provider. OEP will also disclose personal information to different officials for fulfilling statutory employer obligations as well as to employer associations for statistical purposes. 

In other cases, OEP will disclose information to third parties only with the express consent or request of the person.
